Key Responsibilities

To negotiate and let property to suitable tenants. To accurately record data in line with training

 

General Tasks

 

Attend your department morning meeting every day

 

General office duties to include answering the telephone, respond to emails within 24 hours and dealing with people coming into the office.

 

Booking in and out keys

 

Ensure you keep up to date with your specific tasks and are meeting your KPIs.

 

Liaising with other departments within the company to ensure queries are dealt with and answered correctly, in a timely fashion.

 

Ensure we are compliant with all current and new regulations.

 

Work within the Lettings office on a Saturday carrying out any tasks required on a Rota basis. Take on the role of all the departments and respond to all calls and queries received.

 

During holiday periods and absence of your colleagues’ cover/assist to help with their work as and when required

 

Always come to work in smart business dress and be well groomed.

 

To follow company’s Personal Safety Procedures to avoid putting yourself or others at risk.  

 

Arrive to all internal and external meetings and appointments on time.

 

Arrive at work in time to put on your computers and be ready to start work or take part in the morning meetings at 8:45.

Specific Tasks

  1. Qualify and respond to all email leads in a timely fashion, ideally within 4 hours.
  2. Register applicants accurately
  3. Book viewings accurately
  4. Explain to tenants that Chelton Brown will inform and change utilities providers on their behalf.  Offer the services of broadband and media and explain the benefit
  5. Carry out viewings, follow up and give feedback to Landlords on a daily basis
  6. Manage applicants.
  7. Negotiate lets between Landlords and Tenants.
  8. Follow the procedure regarding referencing and right to rent checks.
  9. Liaise with Property Managers to ensure the property is ready and compliant before confirming a move in date.
  10. Property lists and keeping the window up to date with current available stock photos.
  11. Referencing applicants with an outsourced company and liaising with tenants for move in dates.  Preparing move in files. 
  12. Complete progress report.
  13. Adding on new tenants that need referencing.
  14. Pass on messages to the other team members by e mail when they are absent from the office on appointments
  15. Support to office Manager.
  16. General office admin
 

Lettings Negotiator/Administrator – You:

  1. Must hold a full, clean driving licence
  2. Excellent customer service experience
  3. Knowledge of all Microsoft office suite
  4. Be able to work on own initiative and within a team
  5. Excellent time management
  6. Good written and verbal communication
  7. Have at least 5 GCSE of good grades to include Maths & English
  8. Letting/Property Management Experience would be an advantage but full training will be given.
 

Hours of Work:

Monday to Friday – 8.30am to 5.30pm (1 hour unpaid lunch break)

1 in 3 Saturdays – 9am to 4pm (30 mins unpaid lunch break)

20 days plus Bank Holidays
